Subscription model

Warm AI uses a flat-fee subscription model with a monthly ID quota. You pay a fixed price each month (or annually at 30% off) and get a fixed number of company identifications. When your quota is used up, identification pauses until the next period — or you buy a top-up pack.


How quotas work

Each subscription plan includes a monthly ID quota — the maximum number of identifications Warm AI will perform for your account in a billing period.

  • One company-level identification (e.g. a visitor matched to a company domain) = 1 ID off your quota
  • One person-level identification (LinkedIn URL, name, title, business email) returned by our RB2B / Retention.com integration for a US visitor = 2 IDs off your quota (see person-level identification below)
  • Repeat visits from the same company or person in the same period do not consume quota — only the first identification counts
  • Tracking (session recording, page visits, UTM data) continues even when quota is exhausted — no visitor data is lost

When you reach your monthly quota and your top-up balance is 0, identification pauses. New sessions are recorded but not identified until the period resets or you add top-up IDs.


Person-level identification and the 2-ID rule

Warm AI returns two kinds of identification:

  • Company-level — the visitor is matched to a company domain. Available globally. Debits 1 ID per unique match.
  • Person-level — the visitor is matched to a specific person (LinkedIn URL, name, job title, business email, plus company firmographics). Only available for US visitors, via our sub-processor RB2B / Retention.com . Debits 2 IDs per unique match.

The 2-ID rule reflects the wholesale cost of person-level data, which is materially higher than company-level. It also means the same monthly quota covers either ~N company matches or ~N/2 person matches, with most accounts seeing a natural mix dominated by company-level.

Worked example. A site with 1,000 monthly visitors, ~30% identifiable, of which ~35% (US business) come back at person level:

  • ~300 unique visitors identifiable → ~195 company-only + ~105 person-level
  • Quota burn: 195 × 1 + 105 × 2 = 405 IDs

Person-level matches are surfaced distinctly in your Usage history as debit_oem rows with a 2× annotation, so you can see exactly which matches drove the higher cost.

If you only want company-level identification, contact support@getwarmai.com and we can disable the person-level path for your account. Until then, person-level is on by default for all v2 customers.

Why 2×? Person-level data carries our highest upstream cost (RB2B’s contract rate is $0.08 per unique resolution per month). The 2× rule keeps unit economics stable so we don’t have to raise base subscription prices. See the pricing page for the full breakdown.

The 251–500 band is the most popular for growing teams.


Monthly vs annual billing

Monthly billing charges your card on the same date each month.

Annual billing is charged as a single upfront lump sum — no instalments. The annual price is 30% less than 12 × the monthly rate. You lock in the current price for 12 months.

  • Cancellation on annual plans stops auto-renewal at the end of the 12-month period. No mid-year refunds.
  • Upgrades on annual plans are handled via the Stripe Customer Portal — prorated against remaining period value.

Top-up packs

If you exhaust your monthly quota before the period resets, you can buy a one-time top-up pack. Two pack sizes are available:

At Stripe checkout you can adjust the quantity up to 50 packs per transaction. Top-up IDs are consumed only after your subscription quota is exhausted, never expire, and require an active subscription to purchase.

Top-up prices sit above the per-ID rate of every subscription tier. If you’re buying top-ups regularly, upgrading your plan is materially cheaper.


Upgrades and downgrades

Upgrading takes effect immediately. Stripe prorates the charge based on days remaining in your billing period.

Downgrading takes effect at the start of your next billing period. Your current quota remains until then.

Both are managed via the Stripe Customer Portal — access it from Settings → Subscription → “Manage in Stripe”.


Enterprise contracts

For volumes above 5,000 IDs/month, Warm AI offers custom contracts:

  • Negotiated £/ID rate (from £0.10 down to £0.022/ID at scale — see the rate card )
  • Custom monthly ID quota
  • Monthly or annual billing (annual at 30% off the negotiated rate)
  • Minimum 12-month term; longer terms can take a further discount
  • Renewal conversation begins 60 days before expiry

FAQ

What happens when I hit my quota? Identification stops for the remainder of the billing period. Tracking continues — session data is fully preserved. Buy a top-up pack to resume immediately, or wait for your period to reset.

Can I downgrade? Yes. Downgrades take effect at the next billing period start. You keep your current quota for the rest of the current period.

Are unused IDs lost at period end? Unused subscription quota expires at period end — it does not roll over. Only top-up pack IDs roll over indefinitely. This is by design: the fixed quota is what makes the flat price possible.

How do I cancel? Cancel via Settings → Subscription → Manage in Stripe → Cancel plan. Cancellation stops auto-renewal at the end of the current period. You retain access until the period ends.

Do you charge VAT? Not currently. We’ll notify all customers before adding tax.

What is the free trial? New accounts start on a time-limited trial subscription with a fixed trial ID quota — enough to evaluate the platform with real traffic. Trial accounts use the same subscription model as paid plans (the trial is a special tier; you can see your usage and trial end date on the dashboard). When the trial ends, identification pauses until you subscribe to a paid plan. Top-up packs cannot be purchased on a trial — they require an active paid subscription.
